Choosing a Pan-India Landscape Maintenance Vendor: A Procurement Checklist
When a company has offices or campuses in more than one city, procurement teams often look to consolidate landscaping and grounds maintenance under a single pan-India vendor rather than managing a different local contractor per site. Done well, this simplifies invoicing, standardises reporting, and gives one point of accountability. Done poorly, it means a vendor that's strong in one city and thin everywhere else.
The first thing to check isn't price — it's actual presence. Ask whether the vendor has directly employed, trained crews in each city on your list, or whether some locations are quietly subcontracted to a third party you've never vetted. A landscape provider that's genuinely pan-India should be able to name its site supervisors and crew strength city by city, not just point to a logo map.
Second, ask for a single, standardised reporting format across all sites — growth and health tracking, monthly inspection reports, and a defined escalation path — so a facilities head reviewing five cities isn't reconciling five different report styles from five different regional teams.
Third, ask about governance: is there a structured framework for site-based teams, periodic skill upgradation, and service continuity if a site supervisor leaves? This matters more at scale, where losing one person shouldn't mean losing institutional knowledge about a site's irrigation and planting history.
Finally, ask for compliance and safety documentation upfront — SOPs for pruning and equipment handling, MSDS-compliant chemical handling for pest management, and HSSE alignment — particularly if any of your sites are in regulated or security-sensitive environments like airports, industrial campuses or corporate headquarters with visitor protocols.
